Narrative content — the text you submit for analysis, processed to generate your report review
Usage data — analysis history associated with your account, stored so you can review past analyses
Payment information — handled entirely by our payment processor; we do not store your credit card number or payment details

We do not collect your name, badge number, agency, or any other identifying information beyond your email address.

How We Use Your Information

To authenticate your account and provide access to the service
To process narrative text through our AI analysis pipeline and return results to you
To store your analysis history so you can access it within your account
To send transactional emails related to your account (password resets, subscription updates)
To improve the service based on aggregated, non-identifiable usage patterns

We do not sell your data. We do not use your narrative content to train AI models. We do not share your information with law enforcement agencies, courts, or any third party except as described in this policy.

Narrative Content — How It Is Processed

When you submit a narrative for analysis, that text is transmitted to our AI processing pipeline to generate the analysis. Narrative content is:

Transmitted securely over encrypted connections
Processed to generate your analysis and returned to you
Stored in your account history within our database
Not shared with other users or third parties beyond the AI processing pipeline
Not used to train AI models

You are responsible for ensuring that any narrative content you submit complies with your agency's data handling and information security policies. See our Terms of Use for important guidance on this point.

Section 4

Third-Party Services

We use the following categories of third-party services to operate Total Circumstance AI:

Database and authentication provider — your email address and analysis history are stored securely with a third-party database provider
AI processing provider — narrative text is transmitted to a third-party AI processing service to generate your analysis
Payment processor — all payment data is handled by a PCI-compliant third-party payment processor; we never see or store your card details
Hosting provider — the application and its backend functions are hosted on a third-party cloud infrastructure provider

Data Retention

We retain your account information and analysis history for as long as your account is active. If you cancel your subscription and wish to have your data deleted, contact us at info@totalcircumstance.com and we will delete your account and associated data within 30 days.

Encrypted connections (HTTPS) for all data transmission
Secure authentication with two-factor authentication required
Access controls limiting who can access stored data

No system is completely secure. We cannot guarantee the absolute security of your information, and you use this service at your own risk.
